Privacy Policy

This Privacy Policy explains what CutCaption collects, how product and media data are processed, which providers help operate the service, and how users can request access, deletion, or other privacy help.

Who is responsible for your data

Otso Labs LLC operates CutCaption and is responsible for the personal data processed through the service unless a separate written agreement says otherwise.

Data we collect

  • Account data, such as email address, password authentication data, profile fields, workspace membership, verification status, and security settings.
  • Project and user content, such as uploaded videos, audio, subtitle files, generated captions, translations, style settings, thumbnails, waveform data, rendered subtitle files, and burned-in video exports.
  • Billing data, such as plan, subscription, checkout, payment-status, invoice, extra-minute, balance, and usage records. Payment card details are handled by Stripe, not stored directly by CutCaption.
  • Technical and usage data, such as device, browser, IP-derived request context, logs, error diagnostics, security events, feature usage, upload/export status, and cookie or session data.
  • Support data, such as messages you send to support and the account or project context needed to answer them.

How we use data

  • Provide, secure, maintain, debug, and improve CutCaption.
  • Create and manage accounts, sessions, email verification, password reset, two-factor authentication, workspaces, and billing permissions.
  • Upload, store, process, transcribe, translate, render, export, and deliver project content.
  • Calculate processed-minute usage, enforce product limits, manage paid subscriptions, process payments, and resolve billing issues.
  • Send transactional email, respond to support requests, prevent abuse, comply with legal obligations, and protect rights and safety.

Uploaded media, AI captions, and translation

CutCaption processes uploaded media and subtitle data to provide transcription, editing, translation, preview, and export features. Transcription and export may run through Otso Labs-operated workers. Translation currently uses a third-party LLM provider when a user requests translation.

CutCaption does not use, or permit service providers to use, uploaded video, audio, subtitles, transcripts, captions, translations, or derived project data to train public, provider-owned, or CutCaption internal general-purpose AI models. Project content is processed only to provide, secure, support, and improve the requested CutCaption service.

AI captions and translations may contain errors. Users should review outputs before publishing or relying on them.

Legal bases for EU/UK users

  • Contract: to provide the service, accounts, workspaces, uploads, captions, translations, exports, billing, and support.
  • Legitimate interests: to secure the service, prevent abuse, debug reliability issues, improve product behavior, and understand aggregate usage.
  • Consent: where required for non-essential cookies, optional communications, or other consent-based processing.
  • Legal obligation: to keep records, respond to lawful requests, process tax/accounting information, and handle copyright or abuse reports.

Providers and subprocessors

CutCaption uses service providers to host, process, secure, bill, monitor, and deliver the product. These providers process data only for the purposes needed to operate CutCaption.

Current providers include Stripe for payments, Cloudflare services for storage/security infrastructure, Hetzner for application hosting, RunPod for on-demand media processing workers, AssemblyAI for transcription, DeepSeek for requested subtitle translation, Resend for transactional email, and Sentry when enabled for error monitoring. International processing

CutCaption may process data in the United States and other countries where Otso Labs, infrastructure, or subprocessors operate.

Retention and deletion

Uploaded source originals are kept for 30 days on the Free plan and 365 days on paid plans. Account, billing, and project data are kept while needed to provide the service, maintain security, meet legal/accounting obligations, resolve disputes, and support active projects.

Users can delete projects from the app and can request or initiate account deletion from account settings. Deleting projects or an account never refunds processing minutes. Backup, log, billing, security, and legal records may be retained for a limited period where needed or required.

Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, export, restrict, object to, or appeal certain processing of personal data. You may also have the right to withdraw consent where processing is based on consent.

Children

CutCaption is not intended for children under 13. If you believe a child has provided personal data to CutCaption, contact support so the account can be reviewed.
